KNOWNET LIMITED (trading as “Knownet”, “we”, “our”, or “us”) operates the Knownet mobile application and the website at knownet.com (the “Service”). KNOWNET LIMITED is a company registered in England and Wales (D-U-N-S Number 234498143) and is the data controller for the personal information processed through the Service. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and your rights under UK GDPR.
1. Information we collect
We collect information you provide directly when you create an account, build a CV, post a job, or contact us:
- Identity & contact: name, email address, phone number, postcode, and (where you choose to upload it) profile photo.
- Job seeker profile: headline, summary, work experience, education, skills, languages, certifications, salary expectations, and uploaded CV files.
- Employer profile: company name, industry, website, company size, location, and logo.
- Job postings & applications: job content you create, applications you submit, and messages you exchange with other users.
- Verification data: codes sent to your email or phone for OTP verification (the codes themselves are short-lived).
- Payment data: when you subscribe or purchase a boost, payment is processed by Stripe — we do not store full card numbers, only Stripe customer/payment identifiers.
- Usage data: device type, app version, language, operating system, IP address, and how you interact with the Service.
2. How we use your information
- To create and operate your account.
- To match candidates with jobs (including AI-assisted matching and fit scoring).
- To process payments and manage subscriptions.
- To communicate with you about your account, applications, security, and product updates.
- To send push notifications you’ve opted into.
- To detect, prevent, and respond to abuse, fraud, or harm.
- To comply with legal obligations.
3. AI features (Knownet AI)
Knownet AI is the brand name we use for the AI assistance built into our app and website. Under the hood, Knownet AI runs on Google's enterprise AI infrastructure, operated by Google LLC(Mountain View, CA, USA). We send specific data to Google's AI services only when you actively trigger a Knownet AI feature, and only after you give explicit in-app consent the first time you use any AI feature.
What Knownet AI sends to Google's AI services, and when:
- AI job match / “Will I get this job?” — your CV text (headline, summary, skills, last 5 work experiences, education) and the job listing’s text (title, requirements, responsibilities, skills, description, level).
- AI job summary — the job listing’s text and your preferred locale.
- AI CV builder — what you type or speak about your experience, plus what you choose to keep in your CV.
- AI chat assistant — the messages you write to it, plus minimal account context (first name, account type) so it can respond meaningfully.
- Voice assistant — your spoken audio is streamed in real time to Gemini Live for transcription and response.
- Image analysis (e.g. CV/document upload) — only the image you choose to upload, with a short instruction.
What Knownet AI never sends: your password, payment-card data, refresh tokens, raw phone number, or email address.
Lawful basis (UK/EU GDPR): your explicit consent (UK GDPR Art. 6(1)(a)). You can withdraw consent at any time from the app (Settings → AI assistance) without affecting the rest of Knownet.
Retention & training: Knownet AI runs on Google's AI services under enterprise terms that prohibit using API content to train Google's models. Logs may be retained for up to 30 days for abuse detection. See Google's AI service terms and Google privacy policy.
International transfer: Google's AI services may process data outside the UK/EEA. We rely on Standard Contractual Clauses executed with Google Cloud as the safeguard under UK GDPR Art. 46.
4. Sharing your information
We share information only as needed to operate the Service:
- With other users where you choose to make information visible (e.g. an employer can see CV content for candidates who apply to their job).
- With service providers acting on our behalf — hosting (Hetzner), database, email/SMS delivery, payments (Stripe), AI inference (Google Cloud), and crash/usage analytics.
- When required by law, court order, or to protect our rights and users.
- In a business transfer (merger, acquisition, or asset sale) — we will notify you before your information is transferred.
We do not sell your personal information.
5. International transfers
Our infrastructure is hosted in the EU. Some processors (e.g. Google Cloud, Stripe) may process data outside the UK/EEA. Where this happens, we rely on Standard Contractual Clauses or equivalent safeguards under UK GDPR.
6. Data retention
We keep account data while your account is active. You can delete your account at any time from the app, after which we delete or anonymise your personal data within 30 days, except where we are legally required to keep it (e.g. tax records for payments).
7. Your rights (UK GDPR)
- Access — request a copy of the data we hold about you.
- Rectification — correct inaccurate or incomplete data.
- Erasure — ask us to delete your data.
- Restriction & objection — limit or object to certain processing.
- Portability — receive your data in a machine-readable format.
- Withdraw consent for processing that relies on it (e.g. marketing emails).

8. Children
Knownet is not intended for users under 16. We do not knowingly collect data from children. If you believe a child has used our Service, contact us and we will delete the account.
9. Security
We use industry-standard measures including TLS for data in transit, hashed passwords (bcrypt), short-lived JWT tokens, and isolated production databases. No system is perfectly secure; please use a unique password.
10. Changes to this policy
We may update this policy from time to time. Material changes will be communicated in-app and by email. The “Last updated” date at the top reflects the most recent revision.
